When Does AI Actually Help a Small Business?

AI is most useful when a task is repetitive, text-heavy and low-risk. Here's a practical way to decide where it can help — and when not to bother.

A useful question is not only "can AI do this?" but "is it worth it for us?". Those are very different questions, and the second one is usually more important.

Good first candidates

  • Answering the same customer questions across WhatsApp and email all day.
  • Turning long documents, meeting notes or forms into short summaries.
  • Drafting standard replies, quotations or product descriptions that a person then approves.
  • Sorting and tagging incoming enquiries so nothing sits unanswered.

Poor first candidates

  • Anything where a wrong answer costs money, safety or trust with no human check.
  • Work that depends on data you do not have organised yet.
  • Processes nobody has written down — automate the mess and you scale the mess.

A useful rule of thumb

Start with one task, keep a human in the loop, and measure the time saved for a month. If it does not save time you can point to, fix the process instead. Technology should solve problems, not create new ones to manage.
